OnBase DMS to Epic Gallery migration: four strategic dimensions

At the start of our three-part legacy DMS migration series, we named “four strategic dimensions” of a successful extraction and conversion: velocity and project throughput, parallel processing architecture, infrastructure deployment flexibility, and security and network containment. Now we’re putting our own FastLane program under the microscope to see how one customer’s 60-day OnBase extraction and conversion to Gallery stacks up against those benchmarks.

EvergreenHealth profile

Provider type: Hospital system
Size: 430 beds
Location: Washington, USA

Source DMS: Hyland OnBase
Deployment type: Hosted
Target system: Epic Gallery
Scope: Extraction and conversion

Velocity and project throughput

Can the project launch quickly and process documents at scale without sacrificing accuracy?

  • EvergreenHealth’s FastLane migration kicked off with Quoris 12 days after contract execution
  • Bulk extraction was completed 58 days ahead of promised delivery (2 month duration)
  • Quoris extracted and converted 32.5M documents in 60 days at an average rate of 800k docs/day, with multiple days hitting 1M+ docs/day

Parallel processing architecture

Can the migration run in parallel with active operations without disrupting clinical or administrative workflows?

  • Extraction was carried out live by the FastLane team, on the same infrastructure Evergreen’s clinical and admin staff used to carry out day-to-day operations
  • Early in the migration, EvergreenHealth staff reported some slowness
  • Quoris is on-call 24/7 for FastLane customers, so the team was able to respond quickly and resolve the issue by dialing back throughput to an average of 800k documents/day without causing any further disruptions

Infrastructure deployment flexibility

Can extraction and conversion take place within the client’s existing environment, whether hosted or on-prem?

  • EvergreenHealth’s legacy DMS was hosted with OnBase
  • The FastLane team worked within Evergreen’s environment, performing the extraction and conversion without any data transfer appliance

Security and network containment

Does PHI remain within the client’s secure environment throughout migration, without exposure to third-party tools, systems, or offshore handling?

  • Evergreen’s migration did not involve any third-parties, custom software downloads, shipping of database/devices offsite, or off-shore resources
  • Evergreen’s security perimeter did not change with Quoris’ involvement

When we brought Quoris in, we weren’t handing off the problem, we were building a team. The results reflect what happens when both sides are fully committed to the same finish line.
